Terms & Conditions
Please read these terms carefully before booking with us.
Our Agreement With You
These terms and conditions govern the hire of marquees and associated equipment from Saffron Marquees. By placing a booking with us, you agree to be bound by these terms.
Saffron Marquees is a family-run business based in Saffron Walden, Essex. We are committed to providing a high-quality service and these terms are designed to protect both parties and ensure a smooth event.
Bookings & Deposits
A booking is confirmed only upon receipt of a signed booking form and a non-refundable deposit of 25% of the total hire fee.
The remaining balance is due no later than 28 days before the event date. Bookings made within 28 days of the event require full payment at the time of booking.
We reserve the right to cancel an unconfirmed booking if the deposit is not received within 7 days of the invoice date.
Cancellations & Refunds
Cancellations must be made in writing by email to [email protected]. The date of receipt of the written cancellation will be used to determine any charges.
Cancellations more than 90 days before the event: deposit forfeited. Cancellations 28–90 days before the event: 50% of the total hire fee is payable. Cancellations within 28 days of the event: 100% of the total hire fee is payable.
We strongly recommend that clients take out event cancellation insurance to cover unforeseen circumstances.
Delivery, Installation & Collection
We will agree a delivery and collection schedule with you at the time of booking. Access to the site must be available at the agreed times. Any delays caused by the client may incur additional charges.
The client is responsible for ensuring the site is suitable for marquee installation, including that the ground is level, free from underground services, and that adequate access is available for our vehicles.
All equipment remains the property of Saffron Marquees at all times. The client is responsible for the equipment from the time of installation until collection.
Client Responsibilities
The client is responsible for obtaining any necessary permissions, licences, or consents required for the event, including planning permission, entertainment licences, and permission from landowners.
The client must ensure that the marquee and equipment are used in a safe and responsible manner and that no alterations, additions, or fixings are made to the structure without our prior written consent.
Smoking is not permitted inside the marquee. Open flames, fireworks, or pyrotechnics must not be used inside or in close proximity to the marquee without prior written agreement.
Damage & Loss
The client will be liable for any loss, damage, or theft of equipment during the hire period. Charges will be made at the full replacement cost of the affected items.
A damage deposit may be required at our discretion and will be returned within 14 days of collection, less any deductions for damage or loss.
Liability
Saffron Marquees will not be liable for any loss, damage, or injury arising from the use of our equipment, except where such liability cannot be excluded by law.
We will not be liable for any failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to severe weather, acts of God, or government restrictions.
Our total liability to you in connection with any booking shall not exceed the total hire fee paid by you for that booking.
Governing Law
These terms and conditions are governed by the laws of England and Wales. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
If any provision of these terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
